Frequently asked questions
Can employees update their own details?
Yes. Through the employee app, everyone can update their address, phone number, IBAN, bank details and emergency contact. Changes that need HR approval (e.g. marital status) go through a validation flow; everyday changes are processed immediately. No more HR tickets for a house move.
How are leave and absences recorded?
The employee submits their leave or absence request through the app. The planner immediately sees who's already off in the same period and can approve or refuse in one click. The balance of statutory leave, time off in lieu and compensation days is tracked automatically and reset according to the CBA rules of your joint committee.
Can I store documents (contract, medical note, training) against an employee?
Yes. Every personnel file has a documents area where you can upload contracts, medical notes, training certificates and other attachments. The employee only sees what's intended for them; HR and the relevant planners have read access according to their role.
Can Forganiser track certificate expiry dates (VCA, ADR, first aid)?
Yes. Every skill or certificate can have an expiry date. Forganiser sends a reminder well before expiry to HR and to the employee. An employee whose mandatory certificate has expired can no longer be scheduled for shifts requiring it — removing the risk of a non-compliant assignment.
Can a team leader see only their own team?
Yes. Access is role- AND scope-based. A team leader only sees files for their own team; a site manager sees their site; HR sees everything. Sensitive fields (pay grade, medical, IBAN) can be hidden per role, so a planner can build a schedule without seeing salary information.
Is the personnel file GDPR-compliant?
Yes. Access is logged, employees can request their own data export through the app, and personal data is deleted after end of employment according to the retention periods in our privacy statement. Hosting is EU-based. For an audit by your DPO, we provide an overview of processing and the role matrix.
